Meningitis ACWY Vaccination

The CDRC Meningitis ACWY vaccination system is designed to help maximise uptake of this vaccination whilst minimising the burden on general practice. 

To use the system: 

  1. Ensure that you have completed the Set-up steps 
  2. Arrange Patient Invitation

  1. It is worth setting SystmOne to carry over vaccine batch numbers, The screenshots below show how to do this. 
  1. Add the meningitis ACWY vaccination templates to your system. This cannot be done centrally. The CDRC influenza system is currently set up for Menveo and Nimenrix vaccines.  

Go to the vaccination template then click New Template and complete the template as shown below. Spelling, spacing and capitals are important.

Please note the GMS Status should be set to Not under GMS so the vaccine does not appear on your FP34D report. 

Create an identical template for Nimenrix called Men ACWY Nimenrix 

Patient Identification 

There are two cohorts of patients eligible for Meningitis ACWY.   

  1. Patients born on or after 1st April 1998 who missed their school based Men ACWY vaccination.  Since children are due this vaccination in year 9, the CDRC alerts are set to trigger when children in this cohort reach year 10.   
  1. Patients born before 1 September 1999  who are attending university/higher education for the first time but before they reach the age of 25 

Patient Status Alerts 

A single red triangle icon will be displayed for patients who are eligible based on their age.  The icon will not be displayed if: 

  • The patient has received a dose of an ACWY vaccination after the age of 10 
  • The patient has declined the vaccine or it is recorded as contraindicated in the last 11 months 

It is not possible to display an alert for freshers as this information is not recorded in the record. 

Patient Invitation 

Patients can be invited for their ACWY vaccination in a number of ways. 

  1. Opportunistic invitation – eligible patients will be identified by a red triangle icon below the demographics box, on the home page or on the LTC Master Template.  Clicking on the icon will launch the meningitis ACWY template.  This alert will disappear after vaccination, refusal or other addition of other exception code. 
  1. Use the invitation searches in the CDRC Vaccination > Meningitis ACWY  report folder

These searches show the patients that are potentially eligible for meningitis ACWY vaccination except those eligible by virtue of being freshers.  Freshers should receive an invitation for men ACWY from UCAS or their educational establishment. 

If you run the first report at monthly intervals this will allow you to send three invitations before removing the patient from the report.  The reports can be broken down to display mobile phone numbers and email addresses to facilitate SMS and email invitations. 

You should add the code Meningitis C vaccination offered XaQGB to the records of the invited patients. 

Vaccine Administration

To administer the vaccine click on the syringe icon at the top of the screen. The Influenza Vaccine template will open and lead you through the process adding the correct Read codes. 

For patients without the icon, you can launch the Influenza Vaccine template by using the search bar in the lower left hand corner of the main screen and typing in ‘Influenza Vaccination 2022’.

Click on the appropriate vaccination brand to open the vaccine template.  Then choose the batch number and expiry date from the picking list, the location of administration, and the details of the consenting adult in the case of some children. 

The protocol will record the relevant vaccine and Read code.

Safeguards 

The protocol will display a warning if you try to give the vaccination to a patient who has had an ACWY vaccination after the age of 10. 

The protocol will display a warning if you try to give the vaccination to someone who is not in the appropriate age range. 

For those aged 19-25 who are not eligible by virtue of their age, you will be asked if this patient is due to start or recently started university or higher education.

There is a quality control reports in the CDRC Vaccination>Meningitis ACWY folder.  This detects patients with a men ACWY Read code but no entry in the SystmOne vaccine record which is what the CDRC CQRS searches detect.

CQRS Reporting 

In the event that GPES is not working the performance reports can be found in the CDRC Vaccination > Meningitis ACWY folder. 

Please note:  the reports will pick up any Men ACWY vaccination given to patients between 14 and 25.    You must ensure that any men ACWY given to older patients, who are not eligible by virtue of their age, falls within the ES rules.  The CDRC vaccination protocol will ensure that you can do this.  If you vaccinate anyone outside the ES rules you should deduct these patients manually.
